V2.17.1.3

New Features

Quotations

The purchase order window can now also be used for quotations. Simply tick the box that says 'Use this P/O as a quotation. The titles on the purchase order change to quotation. There is also a copy button that allows you to copy the quote and all you have to do is change the Suppliers name. The quote that is accepted can be changed into an invoice by clicking the button that says 'Process Invoice'.

Variable Gst

Caravan parks only charge 5% gst. Craftsman can now accomodate these types of variables. Talk to Lin if you need to use this feature.

V2.14.0.2

New Features

1. Retention: This feature allows you to allocate part of a claim to a retention claim that will be raised at a later date, thus delaying your GST payment on this amount and allowing easy traceability.

The retention can be added when you create the claim or after you raise the claim. Simply click on 'Add Retention' in the 'Modify a Claim' window, enter the % amount and 'Save'. Keep adding retentions until you reach 5% of the contract price. These retention claims are grouped into one claim called retention. Once you raise it no further retentions can be made. Part pay this claim as you receive your retention payments.

2. % Complete: Under Maintenance we have created a new item called 'Expense Stages'. Each section can be grouped into stages i.e. Base Complete, Frame Complete, Lockup, Fixing, Prime cost etc allowing Craftsman to create a report which shows the amount you have allocated to each stage in the budget and the expenses incured to date. This information is displayed as a %.

Both of these items are our interpretation of requests received. If you would like to see changes or further enhancements to either of these processes please let us know. We can send you detailed instructions on either new feature on request.

Other changes in this version;

  • Spreading section numbers in Section Maintenance now works correctly
  • Craftsman automatically adds a sequencial number to each variation within each job which shows up as Variation 1, 2 ....etc on all printouts.
  • Contractor footnote lines were transposing themselves when printed-fixed
  • Grouped EFT's now allows partial payment of invoices
  • Withheld tax not appearing on remittance advise slips
  • Company name on claims is now bolded
  • Estimating: Building permits etc which are calculated on the total estimate price, now automatically update themselves as you build the estimate - you must use $1000 or 'per $1000' as the 'unit' to achieve this.
  • Supplier Invoice Reporting now picks up future 'Due Date' figures for future cost projecting
  • Payroll; 2008/09 tax tables
  • Payroll; Wage plus overtime calculate fortnightly-fixed

New Feature

A variety of footnotes can be created for Purchase Ordering, allowing you to select the most appropriate wording without retyping each time.

  • Go to Maintenance > Common Texts and Footnotes
  • Add each type of footnote separately giving each a title
  • From the Supplier Purchase Order window, click on 'Extended Comments', select the required footnote from the list and save.

    New Craftsman feature

    EFT payments can be electronically transmitted directly from Craftsman

    You will need to uninstall your current version of Craftsman and install the new Vista version. Before doing this make sure you have backed up your data to a USB key, a CD or saved a copy on your desktop.

    Changes in this version;

    • New email access for Outlook
    • Adding a new price list item no longer takes you to the top of the list.
    • Progress & Final claims now display the job no. and date on the left side of the page, like variations and general claims
    • Postcode files can now be updated. Go to Utilities > Postcodes > Download Latest CSV, then update file
    • Payroll:
      • Super can now be run before the end of the month, so long as the last pay period for the month has been run
      • Payslips now print super & leave details. You will need to add each employees super fund number under employees and check their leave records

    V2.162 New Cancel Cheque Option! 5/2/2007

    This feature makes cancelling a cheque that hasn't been entered on the computer VERY easy.

    Go to Banking > Cancel an unused cheque > Fill in the details > Create (It presents it on your bank statement automatically)

    If the cheque is already in your bank statement you will have to cancel in the usual manner.

    Other changes

    • Cashbook Report has been renamed Income & Expenses Listing, everything else is the same
    • Show Cost to Date Report displaying correctly

    Backup changes

    • Backup Directory under Workstation Settings is now working properly and will allow you to automatically backup to your USB key, for example.
    • New feature when you right click a closed company you now have the choice of saving directly to your USB key
     
    V2.159 How to fix that annoying 3 digit section warning! 2/28/2007

     

    To fix the 3 digit warning go to Utilities>System Administrator>Manage System Configuration>Craftsman tab

    • Enter a section in the 'GST Job Section' field i.e.GST or Tax then save. This is used in the Craftsman created Tax invoice for the BAS.
    • You will then have to go to Audits>Upgrade Section No's to 3 digits and run this audit for the LAST time (hopefully!)

    • Invoice No. reference added to the Detailed Payments Report.

    2.157 New Feature for Insurance Claims 2/15/2007
    1. Both the 'modify job' and 'manage claims' windows now have an 'Insurance Info' button which allows you to add Assessor and Claim details. The 'This is an Insurance Job' box must be ticked for these details to print on the claim.
    2. Contractor orders previously gave an error this is now fixed and extra features added to this window.There is a new tick box added to Supplier Maintenance for Contractors. If ticked they will show up in the contractor list used in Contractor Orders. For those users who haven't used this feature before it can be accessed through the 'Manage Claims' window and creates a piece of paper(similar to an invoice) that states the length of the contract and contract amount and any other details you need which the contractor then signs.
    3. If you get a warning saying 'You have not selected a cheque form design', go to Utilities>System Admin>Manage Sys Configuration. Choose the Cheque tab and click on the 'Reset Default Forms' button. It should automatically insert a Cheque Form. If it doesn't choose one from the dropdown arrow and 'Save'
    4. Error occuring when changing the budget when the 'Show cost to date' column was visible (VP Homes)is now fixed
    5. Financial Reports now display the company name not trading name.
    6. New date column added in the 'find invoices window' in Grouped EFT Payments to better identify invoices.

    V2.150 IMPORTANT UPGRADE 12/5/2006

    It is important that everyone upgrades to V2.150 in the next week or so. We have completely removed the huge banklines table and replaced it an automated linking process between  expenses, income and deposits. As a result, your backups will be dramatically smaller and the banking process much more stable. The following Audits must be done in the following sequence in order to regenerate the correct new linkages.

     

    If you don’t upgrade your application in this manner, your Craftsman will be rendered incompatible with all future versions and you WILL get data corruptions.

     

    ·         First do a back-up (zip & save)

    Locate your logo, then tick the box under the ‘Your Logo’ field. Go to the Craftsman tab and make sure the ‘Claims on letterhead’ box is unticked.

    Payroll deductions have been fixed.

    • New feature for Variations – you can add an extra column (% complete) for example but you can call it whatever you like. On the main manage claims window there is a new field above the closed field ‘Extra Col Title’. Go into your variation and in the window where you enter the amount you’ll see an ‘extended details’ field and a field for typing the name of the extra column. IGNORE this feature if it is no use to you.
    • When duplicating an existing estimate there are 2 new options; 1. Don’t overwrite with zero if pricelist price is zero 2. Don’t overwrite quoted amounts with zero
    • Purchase Orders that have been converted into invoices can now be reversed.
    • Drop down descriptions in Purchase Orders now scope to the currently selected section and display in estimate order. Subsect > Item No. not description order.

    • New audit to upgrade voucher numbers to 6 digits. Go to Audits > Upgrade Vouchers to 6 digits, this should be done before proceeding to use Craftsman.
    • Changes to Trial Balance report

    New Feature-Offline Mode

    1. You can define an “Offline” location on your local PC or laptop.
    2. With all companies closed, you can switch from online to offline and back.
    3. Whilst you are Online, you can copy a company to your offline location.
    4. Whilst you are OFFLINE you can copy a database back to the server (dangerous obviously).

    So, this means you can download off the server to the local laptop, take the data away and work on and even bring it back. Here are the steps to take:

    1. Create the offline location.

      You may already have one but go to the Change Workstation Settings option from the treeview and make sure the folder location is specified. It is the last directory location in the list top-left of this window.
    2. Copy the database to the offline area.

      You must be connected and online to do this but the company has to be closed. You should also ensure all users are out of the system or stability of the copy may be in question. Follow these steps. Go to the Company menu and choose ‘Refresh Offline Area’. The computer will notify you if you were successful. You do this as often as you wish to refresh the data. It only takes 20 seconds or so to complete.
    3. Go offline.

      With all companies closed, choose Work Offline from the main Setup menu in the Control Centre. You will be placed in the offline area and this state will be remembered as you start and stop Craftsman. To go back online you need to be connected, have all companies closed and simply choose the Work Offline option in the menu again to toggle it off.
    4. Select your company.

      If this is the first time you have used the offline area and company you need to ‘ADD EXISTING’ company from the company menu. This will let you connect to the downloaded company. You only need to do this once.

    Reminders are given to you that you are in Offline mode and window captions modified to display this. Beyond that there is nothing different about being in an offline mode.

      This version includes ‘Payroll’. There are a lot of changes to the data base and you will have to re-register when you upgrade. If your Craftsman support is not current you will not be able to re-register so do not upgrade. The written version of the new ‘Help Manual’ is now available for $55 (this includes GST & postage). The on-line version has been updated and can be downloaded from the website (www.softwareobjectives.com.au) at no charge. There is also a PDF version in case you wish to print it yourself.       New Feature: 'Set Automatic System Checks'. This is a system to automate and regulate data integrity checking by allowing a group of audits to be conducted at scheduled times. For example, 1.00am daily. Items covered:

      2. Rebalances
      3. Reindex
      4. Rollovers

      This feature can be run from a desktop icon or scheduled in the Task Manager. There is a new window to set up under Utilities > Sys Admin.

      New Audit - Supplier Invoices
      Looks for supplier name inconsistencies, line adding errors, missed lines and duplicated invoice numbers.

      'Earliest Audit Date' found in Sys Administration, Craftsman tab - allows you to limit the date that audits go back to. BE CAREFUL you must make sure there are no errors in the data prior to the date chosen. This will speed up Audits and Reports i.e. Bank Statement Reconciliation.

      Bulk EFT Remittances now include Invoice number, date & details and you can search by Supplier code. Bank name is now visible.

      Changes to the Invoice number in the Mod Supplier Inv details browser now saves to Modify Supp Inv item box.

      PAYG/WHT Report now includes PAYG invoices that are under the tax threshold and have no PAYG tax.

      GST/WHT Listing 'paid date' added for CASH accounting.

      Grouped EFT payments- the add new payment information window now allows you to search on Supplier code as well as name.

      Unused Account codes and unused Suppliers can now be hidden from lists.
